Responsibilities for the HR and Team Assistant (100%) job

About the role

Due to the expansion of our teams we are looking for a new team member to take the lead on the regular HR admin tasks that support the management of employee data, payroll, recruitment, onboarding and training of new hires, as well as to support to the Finance team for invoicing and invoice processing when required (approx 20% of the time).

  • Liaise with employees and authorities on work permits requirements and issue process
  • Register employees with payroll provider and social insurances. Keep employee data up-to-date, reflect employee data changes and report changes to payroll provider and social insurances
  • Report accident and illness to social insurances
  • Manage the absence tool
  • Help to co-ordinate final onsite interviews
  • Assist with the onboarding of employees, ensure work equipment are set up well in advance of employees starting date, co-ordinate timely handover of any work equipment for international hires
  • Organization of internal onboarding trainings, co-ordinate schedule, manage communication and travel for attendees
  • Support the Finance team with invoicing and invoice processing when required (approx 20% of the time).

Requirements for the HR and Team Assistant (100%) job

Your profile

  • Completed Commercial or HR education /diploma
  • At least two years of experience in a similar role
  • Good knowledge of MS Word, PowerPoint and Excel
  • Diplomatic and trustworthy in handling confidential information
  • Strong organizational and prioritization skills with the ability to handle multiple tasks simultaneously
  • Proactive mindset with a can-do attitude
  • Clear communicator, able to structure and convey information accurately and completely
  • Fluent English and German mandatory, C2 or C1 level (spoken and written)
  • Legally allowed to work in Switzerland
