Your challenge

As an Office Assistant, your main focus is to manage the local administration in close collaboration with the local management team. You follow up various team- and office-related tasks, assisting various colleagues so they can fully focus on their projects.

At the moment we are looking for someone to work part time (40-50% or 16-20 hours per week, spread over 4-5 weekdays). There is a possibility of the hours increasing in the future.

You are responsible for:

  • Following up the meeting room reservations.
  • Maintaining the reception area.
  • Ordering and managing office supplies and commercial materials (job and trade fairs).
  • Providing support for administrative tasks such as making copies and prints, collecting and entering data, preparing invoicing information, and setting up meeting rooms.
  • Assisting colleagues by answering and transferring incoming calls from customers, partners, or contractors.
  • Managing travel arrangements for your colleagues.
  • Assisting the local management in preparing reports and coordinating activities for HR, business administration, or team-building purposes.

Your team

As our new Facility Manager, you’ll be part of the Office & Facility team. Office & Facility Management delivers company-wide support, reception, and administrative services. The main goal is to create an optimal working environment for our people.

Your profile

We are looking for someone who meets the following qualifications:

    • Master’s or bachelor’s degree with a technical orientation or equivalent through experience.
    • At least 5 years of relevant experience.
    • Excellent problem-solving skills and the ability to make decisions in a fast-paced environment.
    • Experience with facility systems (GSB -EMS), including HVAC, plumbing, electrical, domotics, security, camera systems, car charging, and PV installations.
    • Proficiency in MS Office, facility management software, and project management tools.
    • The ability to work independently while collaborating well with other teams like office, security, and ICT, as well as external partners.

Bonus points if you:

    • Don’t live too far from the Wommelgem head office, as occasional urgent interventions after office hours and/or in weekends can be necessary.
    • Have technical automotive knowledge so you can assist the Fleet team on technical issues about maintenance and repairs.
